A birthday party is one of the most common events we cater — and one of the most varied. Some are backyard gatherings of 25 family members with a buffet and a cake. Others are 150-guest celebrations at a rented event hall with live food stations, a full bar, and a DJ. The one thing they share is that the food has to be good, plentiful, and served without the host having to manage it. That is the whole point of hiring a caterer for a birthday: you celebrate, we cook.
Sardar Ji Catering handles private party catering — birthdays, anniversaries, graduations, and family gatherings — across Seattle, Kent, Bellevue, and the greater Puget Sound area. This guide covers what goes into Indian birthday party catering: menu structure, portion planning, pricing, service styles, and what to ask when booking.

Menu Structure for an Indian Birthday Party
A birthday party menu should be built for a buffet, not a plated dinner. Guests arrive at different times, serve themselves, and socialize. The menu needs to hold at temperature without losing quality and offer enough variety that everyone finds something they enjoy.
Appetizers
Start with finger food that guests can eat while standing and socializing. Tandoori appetizers work well because they hold their flavor at room temperature and appeal to a wide range of palates:
- Chicken tikka and malai chicken tikka — marinated, grilled, and served on skewers
- Paneer tikka — grilled cottage cheese with bell peppers, the vegetarian counterpart
- Samosas and pakoras — classic fried snacks that disappear fast at any party
- Spring rolls and chicken 65 — crossover appetizers for guests who prefer milder flavors
Main Course
Build the main course around two to three curries with rice and bread. The goal is variety without excess:
- One non-vegetarian main — butter chicken, chicken curry, or goat curry
- One vegetarian main — daal makhani, palak paneer, or chana masala
- Rice and bread — basmati rice (plain or biryani), naan, and tandoori roti
- Accompaniments — raita, salad, pickle, and papadum
Dessert
For birthday parties, dessert is usually the cake (provided by the host or a bakery). We supplement with traditional Indian sweets:
- Gulab jamun — warm, syrup-soaked dumplings, universally popular
- Kheer or rasmalai — milk-based desserts for guests who prefer lighter sweets
- Live jalebi station — fresh, hot jalebi made on site, a guest favorite
Portion Planning: How Much Food to Order
The most common question we get is "how much food do I need?" The answer depends on headcount, time of day, and whether alcohol is served (guests eat less when drinking). Here is a practical guide:
| Guests | Appetizers | Mains | Rice & Bread | Dessert | |--------|-----------|-------|-------------|---------| | 25–30 | 4 items, 2 pcs/guest | 2 curries | 1.5 lbs rice, 15 naan | 1 sweet | | 50–60 | 5 items, 2.5 pcs/guest | 3 curries | 3 lbs rice, 30 naan | 2 sweets | | 75–100 | 6 items, 3 pcs/guest | 3-4 curries | 5 lbs rice, 50 naan | 2-3 sweets + station | | 150+ | 6+ items, 3 pcs/guest | 4+ curries | Custom | Full station setup |
These are starting points. Every quote is adjusted based on your specific guest count, dietary split, and menu selections. When in doubt, order slightly more — leftover Indian food reheats well, and running out of food at a birthday party is worse than having extra.
Pricing for Indian Birthday Party Catering
Pricing is per guest and includes food, delivery, buffet setup, and basic serving equipment. Quotes are based on headcount and menu selection.
| Service Level | Price Range Per Guest | What's Included | |---|---|---| | Basic Buffet | $15–$20 | Appetizers, 2 mains, rice, bread, dessert, delivery, setup | | Full-Service Buffet | $20–$28 | Expanded menu, 3+ mains, chafing dishes, serving staff (1 per 50 guests) | | Premium with Stations | $28–$35+ | Full menu, live food stations, waiter staff, silver cutlery, full cleanup |
A 50-guest birthday party with a full-service buffet typically runs $1,000 to $1,400 total. A 100-guest party with live stations runs $2,800 to $3,500. Every quote is itemized before booking — no hidden fees. Call (206) 771-5079 for a specific estimate.
Service Options for Birthday Parties
Drop-Off Catering
We deliver the food in chafing dishes, set up the buffet, and leave. The host manages serving. This works well for smaller parties (under 40 guests) where the host wants to keep costs down and is comfortable managing the buffet.
Full-Service Catering
We deliver, set up the buffet, provide uniformed serving staff, manage refills throughout the event, and handle cleanup. This is the right choice for parties of 50 or more, or for any size where the host wants to enjoy the party without working.
Mobile Kitchen / On-Site Cooking
For outdoor parties or venues without kitchen facilities, we bring our mobile kitchen with its own tandoor. Naan is baked fresh on site, tandoori items are grilled to order, and the food never sits in a warmer. This is our signature service and what sets the experience apart from standard buffet delivery. See our catering services for more detail.
Live Food Stations
Live stations add an interactive element that guests remember. Popular options for birthday parties:
- Live chaat counter — gol gappe, papri chaat, bhel puri, assembled to order
- Live jalebi station — hot, fresh jalebi made in front of guests
- Amritsari kulcha station — stuffed bread baked in the tandoor
- Mango lassi station — fresh-blended drinks, a hit with kids and adults
Booking Timeline
- 2–3 weeks ahead: Standard booking window for parties of 30–75 guests
- 4–5 weeks ahead: Recommended for parties over 75 guests, peak season (May–September), or events requiring live stations and full service
- 1 week ahead: Sometimes possible for small parties (under 30 guests), but availability is not guaranteed
Weekend dates — especially Saturday evenings — book fastest. If you are planning a birthday during graduation season (May–June) or holiday season (December), book early.
Why Choose Sardar Ji for Birthday Party Catering
We have catered hundreds of birthday parties across Seattle, Kent, Bellevue, and Tacoma since 2014. Every menu is customized to the family's preferences — spice levels, dietary restrictions, and cultural traditions are built into the planning, not treated as afterthoughts. Our Indian food catering page covers our broader catering approach, and our buffet catering guide has more detail on buffet planning.
The kitchen travels. Whether your birthday party is in a backyard in Kent, a community hall in Bellevue, or a rented venue in Seattle, we bring the food — and if the venue has no kitchen, we bring the kitchen too. That is the difference between a caterer who delivers trays and a caterer who cooks fresh on site.
